1. Who We Are and the Data Controller

ALPHA VERA INTERNATIONAL TURİZM LİMİTED ŞİRKETİ (“Alpha Vera International”, “Alpha Vera”, “the Company”, “we”, “us” or “our”) is an international health tourism intermediary organisation based in Türkiye.

Alpha Vera International does not directly provide medical diagnosis, treatment or healthcare services. We support the coordination of communication, appointments, health tourism arrangements, interpretation, travel, accommodation and transfer processes between international individuals and relevant healthcare facilities.

All medical assessments, diagnoses, treatment planning and medical procedures are carried out by the relevant healthcare facilities and healthcare professionals.

This Privacy Notice explains how personal data relating to individuals in the European Union may be processed under the General Data Protection Regulation (“GDPR”).

Depending on your interaction with us and the services you request, we may process:

3. Health Data and Special Category Personal Data

As part of your health tourism enquiry, you may provide:

  • Medical history;
  • Current medical conditions;
  • Medication information;
  • Allergy information;
  • Photographs and videos;
  • X-rays and CT scans;
  • Test and examination results;
  • Medical reports;
  • Previous treatment information; and
  • Other information relating to the healthcare service requested.

Health information is considered special category personal data under the GDPR.

Alpha Vera International does not process this information for the purpose of providing medical diagnosis or treatment.

Health data may be processed for the purpose of coordinating your health tourism enquiry and, where necessary, providing relevant information to the healthcare facility evaluating your request.

Where processing relies on explicit consent, such consent is obtained separately from other notices and consents.

4. Why We Process Your Personal Data

We may process your personal data to:

  • Receive and respond to your enquiry;
  • Identify the health tourism service you are interested in;
  • Coordinate communication with an appropriate healthcare facility;
  • Facilitate the receipt of medical assessment, treatment-plan information and quotations from healthcare facilities;
  • Coordinate appointments;
  • Arrange interpretation and communication support;
  • Coordinate travel and accommodation arrangements;
  • Coordinate airport, hotel and healthcare facility transfers;
  • Organise health tourism meetings and information events abroad;
  • Respond to enquiries, requests and complaints;
  • Maintain information and system security;
  • Operate and improve our website;
  • Carry out analytics or marketing activities where the required choice or consent has been obtained; and
  • Comply with legal and contractual obligations.

5. Lawful Bases for Processing

Depending on the processing activity, we may rely on one or more of the following lawful bases:

  • Processing necessary to take steps at your request or to perform a contract;
  • Compliance with legal obligations;
  • Legitimate interests of Alpha Vera International, where those interests do not override your rights and freedoms; or
  • Your consent.

For health data and other special category personal data, an appropriate additional condition under the GDPR is applied.

6. Who We May Share Your Personal Data With

Where necessary, personal data may be shared with:

  • Healthcare facilities evaluating your health tourism enquiry;
  • Relevant doctors, dentists and other healthcare professionals;
  • Contracted interpreters;
  • Hotels and accommodation providers;
  • Transfer and transportation providers;
  • IT and hosting service providers;
  • CRM and email service providers;
  • Google, Meta, WhatsApp and similar digital service providers; and
  • Public authorities and judicial bodies where legally required.

Healthcare facilities may have their own data protection responsibilities in relation to medical assessment and treatment.

Transfer providers do not receive your complete medical information. Only information necessary for the transfer service, such as contact details, flight information, accommodation details and transportation requirements, is shared where required.

7. Transfers to Türkiye and Other Countries

Alpha Vera International is established in Türkiye. Personal data provided by individuals located in the European Union may therefore be processed in Türkiye.

The use of international technology providers such as Google, Meta, WhatsApp, email, hosting and CRM services may also involve processing in other countries.

Where international transfers are required, appropriate transfer mechanisms and safeguards under applicable data protection law will be used.

8. Data Retention

We retain personal data only for as long as necessary for the purposes for which it was collected and for applicable legal, regulatory or limitation periods.

When the processing purpose no longer exists and there is no lawful requirement to retain the data, it will be securely deleted, destroyed or anonymised.

9. Cookies and Tracking Technologies

Our website may use:

  • Google Ads;
  • Meta Pixel;
  • Google Maps;
  • YouTube; and
  • Google reCAPTCHA.

Non-essential analytics and advertising/marketing technologies will not be activated before the required user choice or consent has been obtained.

Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.
